How access works

Two school years included from day one.

Your subscription covers two school years at all times: the current school year and the following school year. New school year data is published each May — May 2025 publishes the 2025-26 data. All active subscribers receive access automatically. No upgrade or additional payment required.

You can subscribe at any point in the year. A subscriber joining in October gets the current year immediately and receives the following year when it publishes the next May.

The historical archive adds access to all completed school years back to 1996-97 — across all Intelligence endpoints. It is a one-off licence fee, not a recurring charge. Every record was collected directly from the responsible Local Education Authority at the time of publication.

Access rules

Requires an active Intelligence subscription. Access suspends if the subscription lapses and resumes automatically on renewal — no re-purchase needed.

Extends all Intelligence endpoints back to 1996-97.

Internal use only. Redistribution or resale is prohibited. A signed licence agreement is required before delivery.

Do prices include VAT?

All prices shown exclude VAT. VAT is added at the applicable rate for UK-based customers.

How does billing work?

All subscriptions are invoiced annually. There is no card payment or automatic billing. We issue an invoice before each renewal period.

Which school years does my subscription cover?

Your subscription covers two school years: the current year and the following year. A subscriber joining in October gets immediate access to the current year and receives the following year automatically when it publishes the next May — no upgrade or additional payment needed.

When is new school year data published?

New school year data is published each May. May 2025, for example, publishes the 2025-26 school year data — substantially complete across all 208 LEAs by the end of May. All active subscribers receive access automatically as soon as the data is ingested into the Semestern dataset. No action is required and no additional charge applies.

How often is the data refreshed?

The dataset is refreshed quarterly. Where a Local Education Authority issues a material revision or releases a substantial batch of future-year dates, an out-of-cycle update is released as needed.

What is the difference between Calendar and Intelligence?

Calendar tells you when schools are off. Intelligence tells you everything else. The Intelligence endpoints pre-compute the demand signal — how many pupils are off on a given date, what the cumulative impact is across a holiday period, which periods are the highest-impact, and how calendars compare across LEAs. Intelligence also includes INSET days, which are absent from Calendar responses automatically — no parameter needed.

How does the historical archive work?

The archive is a one-off licence fee (£8,999 ex VAT) that adds access to all completed school years back to 1996-97, across all Intelligence endpoints. Access requires an active Intelligence subscription — it suspends if your subscription lapses and resumes automatically on renewal. Customers who purchase the archive receive 15% off their annual Intelligence subscription renewals for as long as their subscription remains active.

Can I upgrade from Calendar to Intelligence?

Yes. Get in touch and we will apply a pro-rata credit for the remaining period of your Calendar subscription. The upgrade takes effect immediately on agreement.
